Publish and unpublish an item

You switch an item between published and unpublished on the item’s input screen.

Which button appears on the input screen depends on whether your role is turned on or off under the project’s Need request setting.

• Off: Publish appears.
• On: New Request appears. You create a request and publish after receiving a reviewer’s approval.

Unpublish appears in the menu in either case. The steps for the Need request setting are in Set whether a request is required for each role.

Owner, Maintainer, and Writer can publish and unpublish. Reader can view items.

Publish an item

Publishes an item you have finished editing.

1. On the Content screen, choose the target model.
2. Open the input screen of the item you are publishing.
3. Click Publish.
4. When any item this item references has Draft or Review in its status, a Publish screen appears. Check the items to publish together and click OK. Items you did not check are not published.

Once published, Published is added to the item’s status. For an item whose status is only Published, Publish cannot be clicked.

An item under review cannot be published.

There are two ways to finish the review.

• Approve the request: the item is published, so there is no need to press Publish again.
• Close the request: the item returns to a state where Publish can be pressed. For an item that still has Published in its status, it cannot be pressed, because the item is already published.

Unpublish an item

Returns a published item to Draft.

1. On the Content screen, choose the target model.
2. Open the input screen of the item you are unpublishing.
3. Click the more actions icon (…) and choose Unpublish.

An item included in a request that is waiting for review becomes Review instead of Draft.

For an item whose status is Draft or Review, Unpublish cannot be chosen. For an item whose status is Published & Review, it can be chosen.

Publish or unpublish more than one item at once

Publishes or unpublishes the items you selected in the list.

1. On the Content screen, choose the target model.
2. In the list on the Content screen, check the checkboxes in the rows of the target items.
3. Click Publish or Unpublish.
4. When you clicked Publish, the Publish items confirmation appears. Click Yes. No confirmation appears for Unpublish.
